The Conflicts Intake Specialist is responsible for providing customer service and support related to the lateral conflicts process during the pre- and post- arrival phases of onboarding all new hires to the firm, including business services candidates, associates, partners, counsel, and other strategic hires, and to facilitate resolution of conflicts of interest and business sensitivity issues. This position works closely with the firm’s Ethics Committee, senior management, Recruitment, firm attorneys, other members of the Conflicts and Compliance Department, and other levels of firm administration.
JOB DESCRIPTION
  • Coordinate receipt of conflicts documentation for new hire and lateral attorney candidates and review for completion and accuracy.
  • Correspond with Recruitment and perform outreach to candidates as needed to obtain full and complete details required for successful conflicts clearance.
  • Assist new incoming partners and counsel in coordinating conflict clearance review of related associates and personnel.
  • Work closely with Associate/Personnel Conflicts Clearance and Lateral Partner/Counsel Conflicts Clearance team members, New Business Intake team members, members of the firm’s Legal Ethics Committee and General Counsel’s Office, as needed, to fully resolve conflict of interest issues that arise prior to and after the lateral attorney joins the firm.
  • Maintain and update the conflicts systems and tracking documents with lateral candidates' information, clients and related parties and the status of the candidate’s incoming clients and matters.
  • Become proficient in understanding and utilization of the Conflicts’ database.
  • Assist the Conflicts and Compliance Department with a wide range of research requests and other projects as needed.
  • All other duties as may be assigned.
QUALIFICATIONS
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
  • Two (2) years of legal conflicts of interest researching and analysis experience preferred. If no conflicts of interest resolution experience exists, candidates must have at least two (2) years of legal background, law firm experience preferred; may be substituted with a combination of experience and education. 3E Conflicts Database researching experience and familiarity with Intapp preferred.
  • Candidate must have strong organizational skills; must be multitask-oriented with exceptional analytical and writing skills.
  • Strict attention to detail is necessary.
  • Must possess strong interpersonal skills and the ability to interact effectively with all levels of the firm and lateral attorneys with confidence, responsiveness, tact and approachability.
  • Must also be responsible for completing tasks and following through with the resolution of issues with minimal supervision, including the ability to meet deadlines under very tight time constraints and many other demands.
  • Must have strong skills in Microsoft Word, Outlook and other Microsoft Office programs. Be able to effectively communicate verbally and in writing.
EDUCATION, CERTIFICATIONS, AND/OR EXPERIENCE
  • Bachelor’s Degree Preferred.
HOURS
  • Core Hours are Monday through Friday 9:00 a.m. to 5:30 p.m. Overtime or flexibility in work hours may occasionally be necessary based on business need.
