Job Description:

The Accounts Payable Clerk works effectively with other departments and outside contacts as required. Performs a combination of routine financial, clerical, and administrative duties to obtain data used in maintaining timely and accurate accounting records.

Job Duties:

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling, and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
  • Ensures credit is received for outstanding memos.
  • Issues stop-payments or purchase order amendments.
  • Maintains accounting ledgers by verifying and posting account transactions.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Maintains historical records, both electronically and physically.
  • Responsible for accounts payable functions including comparing purchase orders with invoices, invoice distribution, keying/ balancing payables, printing/ sorting checks, and filing.
  • Provide requested information to auditors by generating related reports or schedules or locating and pulling requested information as assigned.
  • Maintain various ledgers, registers, and aging reports; post, check and balance ledgers.
  • Maintain files and documentation thoroughly, accurately, and in accordance with company policy.

Job Requirements:

  • Knowledge of Generally Accepted Accounting Principles and compliance requirements.
  • One year of technical school accounting training or relevant accounting work experience.
  • Proficient in Microsoft Office and Excel.
  • Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication, and division quickly and accurately.
  • Must be able to type 45 WPM and use a ten key calculator by touch.
  • Effective oral and written communication skills.
  • High degree of accuracy, attention to detail, and confidentiality.
  • Ability to work well independently and with others.
  • Industry-specific experience preferred.
  • Must comply with all company policies and safety procedures.
  • Must have good time management and the ability to meet deadlines.
  • Adherence to company CPNI policy.
  • Must actively participate in a team environment and practice “Corporate and Spirit of 46 values”.
  • Must be available to drive for company-related purposes as needed or upon request.
  • Must have a valid California driver’s license and favorable DMV record.

Physical Requirements:

  • Must be able to sit for long periods of time.
  • Must have minimal ability to stand, sit, squat, bend, kneel, twist, crawl, reach, push, and pull as required for light duties of standard office clerical positions.
  • Occasional lifting and/or carrying of objects weighing up to 10 lbs.
  • Exposure to air-conditioned/heated office environment.
  • Hearing is required to perceive information at a normal spoken word level.
  • Visual acuity is required for preparing and analyzing data, operating of office equipment, and determining the accuracy and thoroughness of work.
