Job Description


WORK HOURS: 8:00 AM TO 5:00 PM

This position provides basic administrative accounting support, handles mailroom services, and is the primary back-up to the receptionist/switchboard position for City operations.

Major Duties

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

  • Handles daily mailroom duties of sorting and distributing company mail, and preparing and metering outgoing mail
  • Provides primary receptionist back-up

  • Assists with daily sorting and sending of customer invoices

  • Processes certain employee expense and petty cash reimbursements
  • Supports various purchasing and payable functions such as scanning payment, supporting documentation, opening mail, and other document handling as needed.

  • Manages postage meter operational needs and communicates with equipment provider and couriers to keep schedules and equipment in sync.

  • Assists with the ordering and stocking of office supplies

  • Performs related work as assigned.

Minimum Requirements

Requires High School graduation or GED equivalent supplemented by two (2) years of accounting, purchasing or payroll experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.

Must possess and maintain a valid Florida state Driver’s License with an acceptable driving history.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Language Ability
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
